Client Profile

The client provides high quality, professional tutoring and test preparation services for students ranging from Kindergarten through 12th grade. They provide individualized tutoring in Reading, Math, Writing, Study Skills, SAT preparation, ISEE preparation and academic subject tutoring.


The Challenge

The client wanted to outsource a detailed process for routing the faxes received at their specific email account. They wanted us to access the mails and verify the tutor name, student name, session start time, session end time, session date with the data available on a Salesforce.com website. The tutor and student records were needed to be searched using the student ID and Student name. The task also involved generating bug report file for the mismatched session details, tutor names, student names. etc. We needed to upload the attachments session log in form to the particular tutors FTP folder. The major condition was to process all the emails in 24 hours turnaround time.

The Solution

We optimized the process to make it simple and non-time consuming. We organized a preliminary training period of about 2-3 days followed by a trial phase for about 4-5 days. Feedback from the client was incorporated as part of the internally developed training manual before we moved on to the real world Business Process Outsourcing (BPO) work for this client.

Before confirming the completion to the client, thorough internal quality assessments were done to ensure maintenance of all quality standards. We also provided detailed timesheets to evaluate our performance and improvements. We provided weekly status reports to the client. We were able to keep the management time minimum.

The Results

We provided an innovative solution to optimize the process and processed almost 6000 emails each month containing more than 25000 attachments of session forms. Our stringent internal quality processes ensured the highest level of quality standards in the final output.

Our quality control and dedicated team enabled us to deliver the results to the client at the earliest possible time.
